Why executive coaches use Coach Recap

Executive coaching has a shape most tools ignore. There is a fixed engagement, often six or twelve sessions over six months. There are goals agreed at the start, sometimes with a sponsor in the room. There is a confidentiality boundary: the organisation may know the engagement is progressing, but what was said in the room stays in the room. And there is a client whose calendar is the hardest thing you will ever book against.

Coach Recap is built around that shape. The engagement is a program with a set number of sessions. The goals live on the client’s profile and link to the sessions that worked on them. Notes are private to you. The booking page offers only the slots that fit your rules and the executive’s assistant can use it without an account.

Confidential notes, visible progress

Your notes are yours. They are visible only to you, stored under GDPR, and never used for anything else. What you can share is progress: the engagement goals, their status, the number of sessions used. When a sponsor asks how it is going, you can answer from the profile in a sentence, without opening a single note. Full-text search across all your engagements lets you find where a pattern first appeared, which matters when you are working with the same leadership team over years.

  • Session notes visible only to the coach
  • Engagement goals with status, linked to sessions
  • Sessions used against sessions agreed, at a glance
  • Full-text search across every engagement

Commitments that survive a busy quarter

Executives agree to things in a session and then have a quarter happen to them. In Coach Recap each commitment is an action item with a date. It stays on the profile and it is the first thing on screen at the next session, so the follow-up is a question you ask rather than a thing you have to remember. Between sessions, a private chat keeps the short questions out of email, and shared resources give the client the model or article you referred to.

  • Action items with due dates, carried over until done
  • Private chat for between-session questions
  • Shared resources on the client’s profile
  • Reflection forms sent before each session, if you use them

Booking that fits a senior calendar

Set your working hours, buffer time and minimum notice once. The booking page then shows only slots that fit, and it reads your Google Calendar or Outlook so a slot that is already taken never appears. An executive assistant can book or reschedule from the link without creating anything. Reminders go out by email at the intervals you choose, under your own name and branding. If the executive pays personally, the program can be paid by card through Stripe; if the organisation pays, the program still tracks every session against the engagement.

  • Booking page with buffer time, minimum notice and advance limit
  • Two-way sync with Google Calendar and Outlook
  • Reminders in your wording and branding
  • Engagements set up as programs with a fixed session count

Built for a practice of one

Coach Recap is designed for solo coaches, so there are no seats to buy and no features held back for a higher tier. The free plan covers three clients with no time limit and no credit card; the Professional and Business plans only change the client limit. Every page in the product is described on the features overview.

Frequently asked questions

Are session notes confidential?

Yes. Notes are visible only to you. Clients see their goals, action items and shared files, never your notes. Coach Recap is GDPR compliant, shows no ads and does not sell data.

Can I show a sponsor progress without sharing notes?

Yes. The client’s profile shows the engagement goals, their status and the sessions used against the sessions agreed. That is usually what a sponsor needs, and none of it exposes what was discussed.

Can an executive assistant book sessions?

Yes. Anyone with the booking link can book or reschedule within your rules; no account is required. The booking is written to your calendar and the client gets the confirmation and reminders.

How is a fixed engagement set up?

As a program with a session count, for example 8 sessions. Every booking counts against it, so you and the client always know where the engagement stands. Payment can go through Stripe by card or be handled outside the platform.

Your next session could be the first one with everything in one place.
